Communications Coordinator

Ohio Academy of Family Physicians

The Ohio Family Physician Magazine (45% core job responsibility)

Serves as the managing editor of the print and digital versions of The Ohio Family Physician:

  • Works with the physician editor and Communications Resource Team members to produce a professional, quarterly magazine on a timely basis
  • Collaborates with internal and external teams to select magazine themes and to set an annual editorial schedule that places emphasis on topics that align with advancing the OAFP strategic plan
  • Writes articles with a “storytelling” voice that features members and topics that align with the OAFP strategic plan
  • Copy edits all submitted articles and features; works with authors to obtain necessary publication information
  • Coordinates the production and layout of each quarterly magazine with a contracted magazine designer ensuring deadlines and expectations for content are met
  • Works with print and digital vendors
  • Distributes finished publication to authors with thank you letter
  • Develops and monitors the annual budget for magazine publications (print and digital)

Membership (20% core job responsibility)

Assists the Director of Membership with member related activities including:

  • Fulfills requests for membership mailing lists
  • Collaborates with staff to produce and distribute blast email notices to membership groups as needed
  • Monitor budget for programs, activities, and publications related to scope of responsibility

Advertising (15% core job responsibility)

Cultivates non-dues revenue through display and classified advertising sales for The Ohio Family Physician and the OAFP website:

  • Generates and manages advertising sales and contracts along with renewal and thank you communications
  • Sends advertising kits to potential advertisers
  • Manages all aspects of display and classified advertising sales including creating and maintaining lead lists
  • Develops and maintains relationships with display and classified advertisers
  • Works with Financial Coordinator to invoice advertisers (display and classified) and bill collection
  • Distributes finished magazine to advertisers with thank you letter
  • Works with Financial Coordinator to calculate UBIT (if necessary)

OAFP Awards (10% Seasonal Responsibility)

Coordinates all aspects of OAFP awards selection and presentation process:

  • Solicits nominations for OAFP awards
  • Works with Awards Selection Workgroup to select the Family Physician of the Year, Family Medicine Educator of the Year, Resident Leadership Award, Friend of Family Medicine, and Torchlight Leadership Award recipients
  • Purchases awards
  • Plans recognition ceremony to honor award recipients to include working with videographer to produce video tributes to the Family Physician of the Year and the Family Medicine Educator of the Year
  • Promotes use of videos across all OAFP communication platforms throughout the year to highlight award winners
  • Prepares and distributes media releases on award winners
  • Prepares news and feature articles on award winners for OAFP communications vehicles
  • Develops and monitors annual awards budget
  • Coordinates the nominating process of Ohio physicians for national AAFP awards

Special Projects & Events (10% Seasonal Responsibility)

Annual meeting responsibilities include:

  • Works with videographer to produce a video introduction of OAFP’s president-elect for the Family Medicine Celebration (annual meeting)
  • Promotes use of president-elect introductory video across OAFP’s communication platforms through the year
  • Completes layout and design of OAFP annual report
  • Creates annual dinner program; assists staff with printing the program in-house

Miscellaneous Responsibilities Include:

  • Serves as a contributor and administrator of the OAFP’s social media platforms
  • Coordinates responses to media requests with Executive Vice President (EVP)
  • Explore and implement a video strategy for updating members
  • Writes and distributes all OAFP press statements
  • Works collaboratively to develop appropriate linkage and promotion between printed and electronic publications
  • Assists with staffing OAFP events, meetings, clusters, and programs as assigned
  • Assists with strategic planning; works with the EVP and Deputy EVP to track progress on the strategic plan and the annual operating plan as needed

General Attributes Required Include:

  • Ability to use desktop publishing (Adobe Suite) for production of promotional materials as requested
  • Knowledge of Windows software applications (Microsoft Word, Excel, Outlook, PowerPoint), Adobe InDesign, Adobe PhotoShop, and Adobe Acrobat Professional
  • Ability to prioritize work in order to complete all responsibilities efficiently and on time
  • Maintains a cooperative attitude, remains flexible to changes in priorities, and strives to maintain harmonious relationships with OAFP staff, members, and all others who come into contact with the OAFP
  • Required to work occasional weekends or evenings, as needed
  • Participates in training/continuing education as requested by supervisor

Knowledge and Skills:

  • Bachelor’s degree in a related field required
  • Strong writing and editing skills
  • Experience in project management required
  • Sales experience a plus, but not required
  • Experience working in a professional association is a plus
  • Minimum of one to two years of relevant work experience or commensurate work experience is preferred
