Director, Board Relations

Ohio University

Reporting to the President & CEO of the Ohio University Foundation (with a dotted line to the Deputy Chief of Staff of University Advancement), the Director of Board Relations provides support for the administration and management of The Ohio University Foundation Board of Trustees and the Ohio University Alumni Association Board of Directors—and all of their subsidiaries. The director:

  • maintains official records of The Ohio University Foundation and the Ohio University Alumni Association;
  • coordinates the scheduling, planning and support of all board and committee meetings;
  • responds to questions and requests for information;
  • ensures compliance with bylaws, operating procedures and Codes of Regulations;
  • helps to manage and coordinate all communication with Trustees, Emeriti Trustees, Directors and former directors (Thomas Ewing Society); and serves as a liaison to the secretary of the Ohio University Board of Trustees.

Primary Accountabilities:

1. Manages all aspects of The Ohio University Foundation (the Foundation) and the Ohio University Alumni Association (OUAA) Board meetings including planning and organizing committee and full board meetings (in person and via phone). [35 percent of time]

  • Works with the Office of Advancement Events to coordinate all logistics for meetings.
  • Coordinates the production and timely distribution of materials to board members.
  • Prepares agendas and other materials for meetings of the Foundation Board of Trustees and the Alumni Association Board of Directors.
  • Leads and directs the agenda planning and execution of both boards’ standing committees.
  • Coordinates and prepares meeting summaries, minutes, programs, updates and other functions related to the activities and operations of board meetings.

The successful candidate must be self-motivated with an ability to work independently while collaborating across diverse teams.

2. Serves as the primary point of contact for inquiries from various publics. [20 percent of time]

  • Corresponds with trustees, volunteers, alumni and Ohio University leadership, faculty, staff and students engaged in Foundation and OUAA Board related activities.
  • Responds to inquiries by board members, tactfully and effectively answering questions and providing information to board members as requested.
  • Manages the corresponding operational expenses and provides immediate oversight of daily business, operations and activities of the boards.
  • Plans and implements education programs and cultivation events and activities for the boards—working to build strong relationships with volunteers to advance OHIO.
  • Serves as liaison to internal and external contacts for the Foundation and the Association.
  • Manages and stewards board member relationships.
  • Helps to ensure that members are fully engaged with and well-informed about the Foundation, the OUAA and the University.

3. Initiates and carries out plans and policies authorized by the boards. [20 percent of time]

  • Oversees resolution of project issues agreed upon by the boards.
  • Oversees that meeting minutes are properly recorded and formally reviewed to create official meeting records.
  • Serve as the resident expert of AGB OnBoard, the Foundation and OUAA’s board management portal.
  • Responsible for the ongoing maintenance and updating of the Board Portal, as well as the corresponding training of staff, board members and others as necessary.
  • Ensures that all meeting details, meeting minutes, bylaws and pertinent historical information is readily accessible and updated as needed.
  • Responsible for providing updates to Advancement Communications & Marketing for the Foundation and OUAA Board of Directors members sections of the Ohio University website.
  • Serves as historian and expert reference as issues and questions arise.
  • Develops and manages a process for tracking board member and committee assignments.
  • Serves as a resource to members on choosing board assignments.
  • Oversees the preparation of special recognition and gifts for the board.

4. Collaborates with the Advancement Events team on planning, coordinating and executing board-related activities. [15 percent of time]

  • Assists the Foundation CEO and Advancement Leadership Team in reviewing and executing the strategic direction of the Foundation and OUAA boards and provides strategic direction regarding board membership, involvement, philanthropic participation and Codes of Regulations.
  • Maintains the official records of the Foundation and OUAA boards to ensure compliance with federal state and local regulations.

5. Prioritizes action items for the CEO, including responses to inquiries by board members; responds on behalf of the CEO as appropriate. [10 percent of time]

  • Drafts policy papers and talking points on behalf of the CEO.
  • Regularly update biographic, demographic and preference data for the Board in donor database.
