Compensation: Salaried, $36,000-$42,000

Our organization is looking for an experienced association professional who wants to use their skills and knowledge in a part-time position in a flexible workplace where results and relationships matter most.
You will act as the Executive Assistant to the Executive Director and help support marketing, membership, and professional development operations for a small but growing statewide professional association based in Columbus, Ohio.
You’ve got to be a self-starter and able to work independently but also enjoy opportunities to work collaboratively on team projects and new initiatives. Did we mention this is a new position? We know what we need right now. But we’re growing and expect the position to grow over time, too. You will be an important part of building out the position and full-time is a real possibility in the future.
This is primarily a remote position (75%) but some attendance at in-person meetings and events (25%) is required. Ideally, we’d meet (read hopefully grab lunch) once or twice a month to connect, converse, and brainstorm but the majority of work will be done remotely.
We’re flexible but you must be consistently available for at least 15 scheduled hours Monday through Friday. The remaining hours can usually be flexible; the quality of the work product and meeting deadlines matter more.

- Executive/Administrative Support (40%)
- Manage and maintain Executive Director’s calendar including scheduling individual and group meetings
- Arrange Executive Director travel to include transportation, lodging, and registering for conferences and events; handle expense and mileage reports
- Respond to routine e-mails, meeting requests, and questions on behalf of the Executive Director
- Provide administrative support for committees such as minutes, attendance/RSVPs, setting up conference calls/Zooms, etc.
- Interface with high priority and high-profile members and contacts including the associations board of directors, sponsors, and c-suite folks
- Comfortable acting as committee liaison and/or representing Executive Director at meetings or on conference calls as necessary
- General Operations (20%)
- Occasionally serve as a point of contact for members and direct calls, voicemails, and emails to the appropriate team member
- Coordinate and maintain association’s calendar of events to include routinely checking with other organizations and partners to avoid conflicts
- Assist in the development, maintenance, and monitoring of the annual operations plan and program budgets to keep things on track
- Prepare reports, collect and analyze information from association database and other sources so we know how we’re doing
- Marketing & Events (20%)
- Assist with development and management of social media and e-mail marketing production schedule; occasionally edit and/or create content for social media, e-mail marketing, and association website
- Support sponsorship activities to include identifying/researching prospects and helping to draft proposals
- Assist with on-site event activities such as registration/check-in and support virtual events as necessary
- Help prepare presentations and use audio-visual meeting technologies so people hate Zoom a little less
- Membership Activities (20%)
- Corresponds with new and renewed members; assist with drafting and sending member communications
- Support membership recruitment by identify prospects via LinkedIn research, Google alerts, and other data mining
- Support membership retention by identifying news and accomplishments via LinkedIn research, Google alerts, other information sources and assisting with related kudos, congratulations, and correspondence
- Assists with other membership functions as necessary
- Skills & Qualifications
- Strong organizational skills and attention to detail
- Ability to manage multiple tasks, deadlines, and priorities
- Strong critical thinking and problem-solving skills
- Excellent written and verbal communication skills; editing skills a plus
- Ability to work independently to complete tasks, under minimal supervision, on a daily basis
- Ability to work collaboratively on team projects and provide input in the development of new initiatives
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint), database technologies, data entry; willingness to learn and use a variety of technology tools (internet CMS/database, email marketing platforms, etc.) quickly and efficiently
- Experience using marketing/communication programs and tools (MailChimp, Twitter, Linked-In, Hoot Suite etc.)
- Understanding of basic design principles and ability to utilize desktop publishing software for basic photo editing and document layout strongly preferred
