Executive Assistant

Ohio Petroleum Marketers & Convenience Store Association

Statewide trade association working to advance the interests of small businesses in Ohio seeks an experienced executive assistant to support our President & CEO and senior management team. The executive assistant provides the first point of contact for members, staff and others who interact with the association’s top executive, and takes ownership of maintaining day-to-day operations and ensuring a smooth workflow in a busy office. This is an excellent opportunity for a detail-oriented administrative professional with strong organizational, interpersonal, and verbal/written communications skills to play an integral role on a small, energetic and highly-productive team. 

The ideal candidate for this position is a mature, proactive and energetic team player who possesses a flexible personality suitable to take on new challenges as they arise and to switch gears immediately when necessary. This person must exercise a wide latitude of independent judgment within established guidelines and policies, as well as the ability to take initiative, and perform a variety of tasks with patience, tact and discretion. To excel in this role, one should demonstrate flexibility, a positive attitude towards work, exceptional organizational and communications skills, a proven system for keeping track of details, and the ability to simultaneously manage multiple projects and priorities. 

Responsibilities include: coordinating the President & CEO’s calendar; maintaining travel arrangements and tracking expenses; coordinating correspondence with association leaders, members and key partners; and managing other day-to-day administrative tasks, key initiatives and projects for the President and CEO, as directed. The executive assistant also provides support to the association’s Board of Directors, which includes responding to correspondence, developing agendas and meeting materials, and assisting in the coordination and scheduling of board member meetings and events. 

Preferred Qualifications 

  • Expertise in streamlining organizational priorities to maximize efficiency and delivering outstanding customer service to association partners and members; 
  • High level of professionalism and the ability to interact comfortably with all levels of management, both inside and outside the organization;
  • Exceptional written, verbal, and interpersonal communication skills;
  • Attention to detail and accuracy; 
  • Proven administrative and project management skills; 
  • Advanced knowledge of Microsoft Office Suite and proficiency with association management databases or similar CRM/AMS software;
  • Bachelor’s degree or equivalent work experience required. 

This is a full-time, salaried position offering a generous benefits package, including underground parking. Regular office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with occasional after-hours duties. Salary is negotiable based on experience (Range: $38,500 - $40,000).
