The opportunity—general job description:

Development aspect: The executive associate for development and process (EADP:

  • manages fundraising operations
  • works with volunteers and donors
  • responsible for smooth, regular donor recognition
  • production of quarterly appeals, and reporting

Mortar Board has been celebrating its Centennial throughout 2018, and a large fundraising campaign is nearing completion as well as planning for Mortar Board’s centennial celebration August 3-5, 2018, in Columbus. The EADP will be integral to the execution of the end of the campaign and to the celebration.


  • develops and implements long- and short-term plans to secure annual, major and planned gifts from alumni, friends, volunteers, corporations, foundations and other entities in support of the mission and priorities of the Mortar Board National Foundation
  • keeps completely accurate records of all donations, aligning them with donor records in Mortar Board’s AMS, producing Excel reports, charts and graphs as well as timely and well-written donor acknowledgement letters
  • assesses the development calendar and puts the development plan into operation, determining cost-effective printing and mailing options and meeting deadlines
  • guides the volunteers of the Tapping Society, Mortar Board’s new member giving group
  • grows the size of the Mortar Board Alumni Association (MBAA) and connects MBAA members with opportunities for service to Mortar Board nationally as well as alumni involvement locally in their communities

Process aspect:

The EADP will support the executive director by managing the output and production of the entire staff in meeting the goals set internally and externally, reducing opportunities for urgent situations to arise, anticipating operational and staffing needs, and ensuring the smooth running of all office processes. Some examples:

  • Manage the Mortar Board Alumni Association renewals and promotions and work with the Mortar Board Alumni Ambassador (a volunteer) to inspire and encourage alumni to join
  • Set up award committees and other national volunteer committees
  • Handle requests for chapter address lists and smoothly connect with collegiate and alumni chapters to determine their needs and provide accurate spreadsheets of members
  • Create “Member News” features for the Mortar Board Forum, and update member information as alumni report through various channels
  • Maintain the overall office calendar and meet deadlines for production
  • Set up weekly staff meetings, including creation of agenda
  • Receive and handle emails to the general Mortar Board mailbox with accuracy and dispatch
  • Handle articulation among staff members working on projects for effective conclusions
  • Secure bids for print and general product purchase and get approvals from the executive director
  • Proofread all electronic newsletters, articles for Mortar Board’s quarterly print magazine, the Forum, and any other print materials
  • Assemble materials needed for board and council and ancillary committee and task force meetings

Minimum education and experience:

  • Baccalaureate degree or equivalent combination of education and experience
  • track record of implementing successful fundraising techniques and working with alumni
  • thorough experience in use of Microsoft Office and web-based association management software
  • knowledge of chapter-based, national organizations
  • understanding of higher education protocols, operations and current events

Skills, style and attitude required:

  • Superlative writing and speaking ability in English
  • very strong English grammar skills
  • exceptional ability to proofread and edit with confidence and accuracy according to Mortar Board Brand and Style Guidelines (based on AP style)
  • understanding of fundraising principles
  • knowledge of and comfort with alumni association and alumni work
  • comfort with working with relational databases
  • deftness and accuracy in Excel to demonstrate trends and account for progress
  • ability to stick to deadlines and move office teams forward to meet strategic goals
  • engaging and friendly demeanor when speaking over the phone or in person with donors and volunteers

Desirable experience and abilities:

  • Very strong sensibilities for working successfully in a national nonprofit, creativity, versatility, stamina, observant, and good humored
  • Knowledge of Mortar Board is desired
  • Mortar Board membership is a plus

A position in the Mortar Board National Office offers a prized chance for the higher education, student affairs, or nonprofit association professional who wishes to manage a large and vigorous portfolio that is ready for additional enhancements.

The National Office and people:

The office is staffed by five: executive director; coordinator of data and member services; conference director; collegiate director; and an operations specialist. There are student workers and interns also. Visitors to the office are welcome, and the office regularly hosts meetings of Mortar Board members working on various projects. Staff meet weekly in briefings to coordinate projects and discuss issues facing the Society.

The staff have the opportunity to interact regularly with a key volunteer corps of more than 45 alumni members, not to mention scores of collegiate officers and advisors. The EADP has the chance to guide the development and activities of the Board of Trustees, the Tapping Society, and the Mortar Board Alumni Association as well as volunteer members from around the United States.

The office is located at 1200 Chambers Road in Columbus on the second floor of a four-story office building near the west campus of The Ohio State University with high speed internet access, computers operating Windows, and telephone system. There are five private offices, community work space, storage room, copy room and two conference rooms. The total office space is roughly 2,000 square feet. Restrooms are located outside the office on the same floor. The office has a security system. Parking is free and easily accessible very close to the building’s entrance. Office hours are 8 a.m. to 5 p.m. Monday through Friday.

Staff members develop their own daily work schedules with the executive director’s approval. Because Mortar Board is a national office, staff members are expected to adjust their schedules on occasion to accommodate volunteers in later time zones (Central, Mountain and Pacific) and to be available for meetings set by and for volunteers in the evening. Some weekend work may be required during extremely busy times, which are mostly at the end of semesters and at reporting deadlines in September and May. Staff are expected to travel to (by air when needed) and attend and be available throughout the annual national conference, which is usually held the first weekend in August.
