Manager of Administrative Services

Ohio News Media Association

The Ohio News Media Association is looking to fill the full-time position of Manager of Administrative Services. The Manager of Administrative Services reports directly to the Executive Director. They are looking for a detailed-oriented person with strong written and verbal skills. A basic knowledge of the newspaper and media industry is preferred.

All qualified candidates should have:

  • Five (5) or more years of experience in office management position
  • Advanced Microsoft skills (Outlook, Excel, Word), QuickBooks Online, database experience (ONMA member database, newspaper contest site, and online payroll system)
  • Strong computer skills and internet research skills
  • Phone skills with the ability to act personable and professional on the phone with association members and customers
  • Excellent organizational skills and ability to prioritize projects
  • Skill at operating and maintaining office machines and copiers
  • Ability to work with variety of people, maintain confidentiality, professionalism and courtesy

Responsibilities include:

  • Management of A/R and A/P for 4 entities- Ohio News Media Association (ONMA), Ohio Newspaper Services, Inc. dba AdOhio, Ohio News Media Foundation (ONMF) and the Ohio Coalition for Open Government (OCOG) including banking deposits
  • Work with accounting firm for month end reporting, financials, and tax return information for all entities
  • Human resource management including employee paperwork and benefits management, Bureau of Workers’ Comp, employee handbook, termination procedures
  • File required tax reports including Ohio Use Tax, CAT returns, BWC reports, 1099s
  • Bi-monthly payroll through APEX payroll online system, 401(k) and HSA reporting each pay period
  • Maintain and update ONMA, ONMF and OCOG memberships in database and in Excel spreadsheets with current circulation and online visits, generate invoices and payments, prospect for new members
  • Organize and coordinate the ONMA annual convention including sponsorships, registration, hotel logistics, speakers, awards, and fundraising
  • Help coordinate the Hooper Newspaper of Year contest including requirements, updating contest site, contact judges, print contest winners’ certificates and write script for convention presentation
  • Coordinate the Carrier of the Year contest including application form, maintain entries, coordinate/communicate with circulation committee
  • Liaison for association committees that includes scheduling meetings/calls, agenda, and meeting minutes
  • Arrange for locations for board of trustees meetings (spring and fall), itinerary and RSVPs, coordinate with host paper on logistics details
  • Budgeting – update budget spreadsheets, provide needed reports and information for executive director and executive committee
  • Answer phones and monitor phone system
  • Coordinate with IT firm for computer issues
  • Office management including:
    • Continual re-evaluation of office equipment/services to get the most cost savings
    • keep master list of computer, phone and security code passwords
    • maintain office supplies
    • PCI compliance renewals
    • miscellaneous license and certificate renewals
