Office Manager & CME Coordinator

The Ohio Osteopathic Association (OOA) is a divisional society of the American Osteopathic Association. The OOA advocates for all osteopathic physicians in the state, as well as medical students attending Ohio University Heritage College of Osteopathic Medicine (OU-HCOM) and several hospitals which are institutional members. The organization is seeking a hardworking individual who will be committed to its mission and vision.

Job Responsibilities include:

  • Administrative duties:
    • Answers phones and responds to inquiries as necessary, greets visitors to the office and assists the executive director and other staff with projects as directed
    • Performs routine clerical functions including typing, copying, collating, labeling, processing bulk mailings and filing
    • Picks up mail daily at the post office, opens letters and distributes to executive director then staff; ensures mail is posted and taken to the post office on a timely basis
    • Provides administrative assistance for the OOA Executive Director
      • Assists the executive director in scheduling board and committee meetings and conference calls, securing meeting space, preparing meeting notices and agendas, and coordinating off-site meeting room setup for:
        • OOA Board Meetings and related committee meetings
        • Ohio ACOFP Board meetings
        • Ohio Osteopathic Foundation Board meetings
        • Annual OOA House of Delegates meeting; and
        • Annual AOA House of Delegates meeting
    • Maintains board minute books and ensures accurate records are maintained
    • Prepares minutes for OOA, OOF and Ohio ACOFP board meetings
    • Prepares and updates rosters for the OOA, OOF Ohio ACOFP and various committees
    • Certifies delegates for the OOA annual meeting and assists with preparation of resolutions and reference committee assignments
    • Certifies delegates for the AOA House of Delegates and secures sleeping rooms and meeting space for the members of the Ohio Delegation
    • Certifies delegates for the ACOFP annual meeting and secures meeting space, menus for Ohio delegation meetings
    • Coordinates communication with district academy leadership
    • Secures business travel arrangements for OOA Executive Director

  • CME Coordination
    • Serves as the administrator for the Ohio Osteopathic Association/Ohio Osteopathic Foundation (OOF)’s continuing medical education (CME) programs
    • Oversees and coordinates all AOA Category 1-A CME programs jointly sponsored by the OOF
    • Coordinates and maintains records for all aspects of CME programming for OOA/OOF, including but not limited to: scheduling, lecturers and recruitment, needs assessment, speaker agreements, registrant attestation, post-tests, evaluations
    • Manages regular, high-quality educational program for OOF including varying topics, formats, location, lecturers, etc.
    • Ensures all OOF-accredited CME is accurately reported to the American Osteopathic Association (AOA). This shall include programming independently or jointly sponsored by Ohio Osteopathic Foundation (OOF)
    • Coordinates all aspects of the OOF’s online CME programming and ensures speaker agreements conform with the current AOA requirements for online CME
    • Coordinates Ohio Osteopathic Symposium educational programming with Ohio University Heritage College of Osteopathic Medicine
    • Collects CME programming details of all AOA-accredited entities in Ohio
    • Maintains and regularly updates OOA calendar for all OOF-accredited programs
    • Develops educational partnerships that benefit the OOA and OOF; including but not limited to OU-HCOM, OU-HCOM Clinical Educational Network, and partner hospitals/programs
    • Works with OOA Executive Director to secure program sponsors
    • Create educational modules for Osteopathically Recognized programs
    • Prepares all necessary records for AOA CME audits
    • Remains current on all aspects of CME policy
    • Other duties as assigned
  • Ohio Osteopathic Symposium Exhibit Management
    • Manages all aspects of the OOS exhibit hall
    • Maintains updated exhibit prospects, crafts solicitations, processes contracts and tracks payment, and assigns exhibit space

  • Miscellaneous responsibilities 
    • Maintains calendar on the OOA website
    • Orders all supplies
    • Actively seeks advertisers for Buckeye Osteopathic Physician publication
    • Coordinates office maintenance
    • Ensures office tidiness
    • Other special projects and duties as assigned

Required Minimum Qualifications

The ideal candidate for this position will possess:

  • Bachelor’s degree required
  • Excellent oral and written communication skills
  • Exceptional interpersonal skills

  • Demonstrated experience working with complex tasks that requires meeting deadlines
  • Proficiency in Microsoft Office, Word, Excel and PowerPoint
  • Experience within the field of education, medical education or related field is a plus.
  • Expertise in the principles of learning and instructional design, development of competency-based education and learning assessment is a plus.
